Sorting & Filtering

Sorting by one or more levels, custom sorts, filters, and advanced text, number, and date filters.

Sorting data

Slide 1 / 5

Click any cell in a column and choose Data ▸ Sort A to Z (or Z to A). Excel sorts the entire list, keeping each row together — as long as the list has no blank rows or columns.

Never select only one column and sort it: Excel will warn you, because sorting that column alone would scramble which values belong to which row. Choose Expand the selection.

Text sorts alphabetically, numbers from smallest to largest, and dates from oldest to newest.
